Bespoke System Live

Case Management System

Every matter, every owner, every deadline, tracked end to end with the audit trail written by default.

Industry
Law firms, NGOs, insurance, complaint desks, HR & facilities
Best for
Operators running lifecycles that span weeks and hands, where a missed deadline costs more than the system does.
In short

What is case management software?

Case management software tracks a matter end to end, every owner, document, deadline, and decision on one timeline, and writes the audit trail as a by-product of running the work. Cases move across a board with SLA timers, advance automatically as events fire, and escalate themselves when a deadline breaches.

How we work

We sit with your business. We find the operational problem costing you the most. We build the system that fixes it.

The Problem

A legal matter passes through five hands over three weeks. Documents land in one inbox, deadlines live in another, decisions get made in WhatsApp. Somebody forgets a filing date. The client phones to ask. Nobody can reconstruct who said what, when.

What We Built

One engine owns the lifecycle. Cases move across a Kanban with SLA timers on every card. Opening a case shows every interaction, every document, every deadline and every decision on a single timeline. Events advance the case automatically. When an SLA breaches, the escalation fires itself, case bumped, supervisor notified, comment auto-logged. The example below is one such build. The same approach has shipped for NGO beneficiary files, complaints, HR incidents and more, shaped to each team that runs it.

What Changed

Missed deadlines dropped from one in four matters to under one in fifty. Audit prep that took a fortnight became an export. New role ramp dropped from six weeks to two days, the system encodes how the work runs.

Example deployment

Example deployment. Every Zabble case system is shaped to its business, workflow, fields, SLAs and escalations are all configurable.

Live engine

One engine, six case types. Fire an event and the case advances - deadlines recompute, assignees update, breach rules escalate themselves. Every action is written to the audit trail as it happens.

Switching case type swaps the workflow, fields and SLAs, not the engine.

How it fits the two pillars

One engine. Two jobs done by default.

Automation

Events trigger the next step: stage transitions, deadline recomputes, assignee notifications, escalations on breach. The case moves from the event, not from someone remembering.

Audit Trails

Every action ever taken on a case, by whom, when, why, written once and never edited. The full record exports as one document, ready for an auditor, a regulator, or the client.

FAQ

Frequently asked questions

Is a spreadsheet enough for case management?
A spreadsheet can’t enforce a deadline, route a case, or reconstruct who did what when, and it goes stale the moment work moves to email or WhatsApp. A case management system owns the lifecycle, so the timeline, the SLAs, and the audit trail are always current.
What can it manage?
Legal matters, NGO beneficiary files, HR incidents, and operational complaints, any work that passes through many hands over weeks. The same engine is shaped to each team that runs it, so the board and the rules match how that team actually works.
How does it help with audits and deadlines?
Every interaction, document, deadline, and decision sits on one timeline, so audit prep that took a fortnight becomes an export. SLA breaches escalate themselves, case bumped, supervisor notified, comment logged, so missed deadlines drop sharply.
